The IT Project Coordinator will support complex technology initiatives across our global helicopter operations by providing tactical project coordination and execution support under the direction of the IT Project Manager. This role requires a highly self-directed professional who can coordinate cross-functional teams and resources across multiple continents, time zones, and business units to ensure project deliverables are completed on time and under budget. The successful candidate will be instrumental in supporting our digital transformation from on-premises infrastructure to Microsoft Azure cloud environments while applying Agile/Scrum methodologies to accelerate project delivery and maintain operational excellence.

 

IT Project Coordinator

Workplace: Remote - Poland

Type of employment: Employment Agreement

• Project Coordination Support: Assist the IT Project Manager in coordinating complex technology projects including Azure cloud migrations, infrastructure modernization, and enterprise application implementations across global helicopter operations
• Cross-Continental Resource Management: Coordinate project resources, tasks, and deliverables across multiple continents, time zones, and business units, ensuring effective communication and collaboration throughout project lifecycles
• Agile/Scrum Facilitation: Support Agile and Scrum methodologies by facilitating sprint planning sessions, daily standups, retrospectives, and sprint reviews while maintaining project documentation and metrics
• Cloud Migration Coordination: Assist in coordinating complex migrations from on-premises infrastructure to Azure cloud environments, working with technical teams to track progress and identify dependencies
• Project Documentation Management: Maintain comprehensive project documentation including project plans, status reports, risk registers, and issue logs while ensuring accuracy and timeliness of all project artifacts
• Stakeholder Communication: Facilitate communication between technical teams, business units, and project stakeholders by organizing meetings, preparing status updates, and escalating issues appropriately
• Resource Scheduling & Allocation: Coordinate resource allocation and scheduling across multiple projects, working with team leads to optimize resource utilization and identify potential conflicts
• Risk & Issue Management: Monitor project risks and issues, maintain tracking logs, and work with the IT Project Manager to develop mitigation strategies and resolution plans
• Budget Tracking & Reporting: Assist in monitoring project budgets, track expenses, and provide regular financial reporting to ensure projects remain on budget
• Vendor Coordination: Support vendor management activities including coordinating deliverables, managing contracts, and facilitating communication between vendors and internal teams
• Quality Assurance Support: Assist in establishing and monitoring project quality standards, ensuring deliverables meet requirements and compliance with aviation industry regulations
• Meeting Facilitation: Organize and facilitate project meetings, workshops, and working sessions while ensuring proper documentation and follow-up on action items
• Change Management Support: Assist in managing project scope changes, configuration management, and change control processes while maintaining project integrity
• Progress Monitoring: Track project milestones, deliverables, and KPIs while providing regular updates to the IT Project Manager and stakeholders
• Process Improvement: Identify opportunities to improve project coordination processes and contribute to the development of project management best practices

Required Experience

• 3+ years of IT project coordination experience with proven track record supporting complex technology initiatives
• Strong Agile/Scrum background with experience facilitating Scrum ceremonies and supporting Agile project delivery
• Experience coordinating projects involving on-premises to cloud migration, specifically with Microsoft Azure environments
• Demonstrated success coordinating resources across multiple time zones, continents, and business units
• Experience supporting hybrid IT environments during digital transformation initiatives

Technical Knowledge

• Cloud Platforms: Conceptual understanding of Microsoft Azure services, hybrid cloud architectures, and cloud migration strategies
• Infrastructure: Knowledge of on-premises data centers, networking, virtualization, and enterprise infrastructure components
• Project Management Tools: Proficiency with Azure DevOps, Jira, Microsoft Project, Smartsheet, and other project coordination platforms
• Enterprise Systems: Understanding of ERP systems, enterprise applications, and integration architectures common in aviation/manufacturing industries
• Documentation Tools: Experience with SharePoint, and other collaboration and documentation platforms

Agile/Scrum Expertise

• Methodology Knowledge: Strong understanding of Agile principles and Scrum framework
• Ceremony Facilitation: Experience facilitating sprint planning, daily standups, sprint reviews, and retrospectives
• Metrics & Reporting: Knowledge of Agile metrics including velocity, burn-down charts, and sprint reporting
• Tool Proficiency: Experience with Agile project management tools and tracking systems
• Continuous Improvement: Understanding of continuous improvement practices and retrospective facilitation

Location Requirements

• This is remote work position based anywhere in Poland working Monday through Friday
• Eligible to work in Poland (citizenship, permanent residency, or valid work visa)
• Available for after-hours support and emergency response as needed
• Willing to travel within Poland for remote site visits (typically 15-20% travel)
