Role Summary

We are looking for a proactive, solution oriented and service minded colleague, which can take ownership of the Project Assistant/Office Assistant role and become a part of one of the largest and experienced aviation design organisations in Europe.

 

The Project/Office Assistant will be responsible for supporting the design engineers with document administration/management and record keeping.

 

The role will also assist project managers /project engineers in collection of project related data such as hours spent, schedule, progress etc. for updates of project forecast and KPI’s. 

 

The role shall further support design engineers and design management team with various administrative tasks.  

Key Responsibilities

  • Assist design staff with document administration/document management and record keeping in accordance with regulatory requirements and approved procedures.
  • Manage document archive and filing system including both short-term and long-term storage facilities.
  • Assist project managers /project engineers in collection of project related data such as hours spent, schedule, progress etc. for updates of project forecasts and department KPI’s.
  • The role shall support the design team with administrative tasks such as update of department KPI’s, writing minutes of meeting, follow up action logs, risk management systems, maintaining training records, customer configuration indexes etc.

Qualifications, Skills & Attributes

Mandatory qualifications and attributes:

  • Good IT skills (MS Office, Document Management Software, Adobe Acrobat, AI tools)
  • Able to work in accordance with written procedures and authority requirements.
  • Excellent English skills (both written and spoken).
  • Due to the nature of working within the aviation industry, the applicant must be quality- and safety conscious, organized, structured and be able to collaborate within a team in a dynamic environment.
  • Valid Norwegian residence and work permit.
  • Able to achieve the appropriate authority security clearance for the role.

Beneficial, but not mandatory:

  • Previous experience with technical documentation management
  • Aviation experience (Technical/Operational/Commercial)
  • Experience with Autodesk Vault
  • Experience with ERP systems
