Role Summary

The Executive Assistant will provide high standard administrative duties for several senior leadership executives at CHC Helicopter. Additionally, the Executive Assistant will be expected to work closely with the senior executive management to provide support as required.

Key Responsibilities

  • Completely manage multi-time zone, heavy calendaring for the executive team. Calendars can be complex and frequently changing
  • Collaborate with Executive Assistants and stakeholders across the global organization (domestic and international) to plan and execute high-level leadership meetings and calls
  • Coordinate complex international travel, including visa processing, air, accommodations, transfers/transportation, itinerary preparation, Covid protocols, etc.
  • Process expense reports in a timely manner, with strong knowledge of Travel & Expense policies to ensure compliance
  • Prepare and/or review confidential/legally privileged, and/or time-sensitive, correspondence including presentation decks and materials
  • Participate in executive meetings, as requested, to take notes and prepare minutes
  • Working with CEO’s EA, coordinating all-hands meeting, with primary responsibility for meeting logistics (e.g. room reservations and set-up, A/V, catering)
  • Represent the C-Level executives with poised and highly professional written and verbal communication, both internally and externally
  • Apply judgment with a full understanding of urgency, confidentiality, and priorities of the business, routinely needing to multi-task with little to no direction
  • Respond to requests for assistance from the executive’s working groups, as needed
  • Actively stay informed of the division’s current projects, issues, and priorities to be able to anticipate needs and proactively support the executive team
  • Be the voice for continuous improvement in approach and processes

Qualifications, Skills & Attributes

  • Bachelor’s Degree, or equivalent experience
  • Extensive years of proven experience successfully providing support as an executive assistant to multiple executives with global scope and responsibility
  • Demonstrated flexibility and problem-solving
  • Excellent communication skills; written and verbal
  • Resourceful, strong sense of initiative and ownership, collaborative
  • Skilled and focused on prioritizing, multitasking, and demonstrating a sense of urgency and respect for deadlines, managing time effectively
  • Ability to handle highly confidential information with discretion
  • Valid passport, occasional travel may be required
  • Intermediate to Advanced Microsoft Office skills(Outlook, Teams, Excel, Word, Powerpoint)
  • Flexibility to provide support outside of traditional work hours, as needed for global meetings
